Based in our San Francisco headquarters, you will play a critical role in ensuring our executive operations run with precision, pace, and professionalism. This is not your average administrative role — it's a dynamic opportunity for someone who thrives under pressure, anticipates needs before they arise, and acts decisively. You’ll be the strategic right hand to the SEBP, helping manage a complex, high-velocity schedule, coordinating seamless travel, managing logistics, and ensuring the CEO’s office operates at its highest level. Negotiating deals with all vendors is a must — from travel and accommodations to event planning and services — and you’ll be expected to consistently present the most strategic and cost-effective options available to support fast, informed decision-making. Responsibilities: Executive & Administrative Support: Manage calendars and schedule meetings with consideration for priority, timing, and potential conflicts. Book and manage detailed travel logistics (flights, hotels, ground transport, itineraries) with speed, foresight, and cost-effectiveness. Create and format correspondence, slide decks, and internal documents with guidance from senior team members. Submit and track expense reports and purchase requests in compliance with company policies. Maintain confidentiality and handle sensitive information with discretion. Team & Cross-Functional Coordination: Assist in coordinating internal meetings, all-hands, and team gatherings, including logistics, invites, and materials. Collaborate with other Executive Assistants and internal teams to align schedules and coordinate planning. Partner with events and operations teams to support execution of team offsites and QBRs (supporting logistics, not leading planning). Process & Operational Support: Follow established procedures for approvals, communications, and documentation. Contribute to improving administrative processes through feedback and collaboration. Provide occasional personal support to executives (e.g., scheduling appointments), with approval. Qualifications: Bachelor’s degree or equivalent work experience required. 2+ years of experience in an administrative or support role; ideally in tech or SaaS. Ability to work normal business hours, 5 days a week at the San Francisco headquarters Strong organizational skills and attention to detail. Proven ability to manage time, prioritize tasks, and work within established guidelines. Effective written and verbal communication skills. Professional presence and discretion in handling confidential information. Calm under pressure, solutions-oriented, and responsive. Comfortable using Google Workspace, Slack, Zoom, and similar tools. Personal Attributes: Eager to learn, grow, and contribute to a high-performing team. Dependable, punctual, and responsive. Calm under pressure, with a positive and solution-oriented attitude. Willing to take direction and learn from more experienced team members. Collaborative and approachable, with strong interpersonal skills.

$75K - $90K
