The Document Control Specialist is responsible for the organization, management, and maintenance of all project-related documentation for construction projects. This role ensures that all documents—such as drawings, specifications, submittals, RFIs, change orders, and contracts—are properly controlled, distributed, and archived in accordance with project requirements. The position works closely with project managers, engineers, subcontractors, and clients to maintain document integrity, traceability, and compliance with contractual and regulatory standards.
Develop, implement, and manage document control systems, policies, and procedures to ensure accuracy and compliance with project standards.
Maintain and control project documentation including drawings, specifications, submittals, transmittals, RFIs, meeting minutes, and correspondence.
Coordinate document flow between internal teams, architects, engineers, subcontractors, and clients to ensure timely review and approval.
Establish and maintain centralized electronic document management systems (EDMS), such as Procore, Aconex, BIM 360, SharePoint, or comparable platforms.
Ensure all documents are version-controlled, accurately labeled, and distributed to appropriate stakeholders.
Track and report progress on document reviews, outstanding submittals, and pending approvals to support project schedules.
Conduct periodic audits of document control processes to maintain accuracy, consistency, and compliance with QA/QC standards.
Manage document archiving and closeout procedures, ensuring all final documentation is complete and properly delivered.
Train and support project teams in document control procedures and use of document management software.
Support project startup, mobilization, and closeout with accurate and organized documentation.
Assist in maintaining client-facing document portals, directory structures, and access permissions.
Collaborate with engineering teams to enhance electronic filing systems and support implementation of QR code–based access workflows.
Bachelor’s degree in Construction Management, Engineering, Business Administration, or a related field preferred.
Minimum of 5+ years of experience in document control or project administration within the construction industry.
Strong understanding of construction project documentation, specifications, and contract management.
Proficiency with document management systems such as Procore, Aconex, BIM 360, SharePoint, or similar tools.
Excellent attention to detail, organization, and data management skills.
Strong communication skills with the ability to collaborate effectively with varied disciplines and management levels.
Knowledge of industry standards and document control best practices (ISO 9001 experience a plus).
