Job Summary: The Medical Office Manager will be responsible for managing the day-to-day operations of the medical office, including staff supervision, patient scheduling, billing, and compliance. The role involves ensuring a smooth workflow, maintaining high standards of patient care, and implementing office policies and procedures.

Key Duties & Responsibilities:

  1. Office Operations Management:

    • Oversee daily office operations, including scheduling, patient flow, and resource allocation.
    • Ensure that the office is maintained in a clean, organized, and efficient manner.
    • Develop and implement office policies and procedures to improve efficiency and compliance.
  2. Staff Supervision and Management:

    • Recruit, train, and supervise office staff, including medical assistants, receptionists, and other administrative personnel.
    • Conduct performance evaluations, provide feedback, and address any personnel issues.
    • Schedule staff shifts and manage employee time-off requests.
  3. Patient Services:

    • Ensure high levels of patient satisfaction by addressing patient concerns, managing complaints, and resolving issues promptly.
    • Oversee patient intake, scheduling, and follow-up processes to optimize appointment management and reduce wait times.
    • Implement and maintain systems for managing patient records and confidentiality.
  4. Financial Management:

    • Manage billing and coding processes, including insurance claims, patient invoicing, and payment collections.
    • Monitor and control office expenses, budgeting, and financial reporting.
    • Ensure accuracy in billing practices and compliance with payer requirements.
  5. Compliance and Quality Assurance:

    • Ensure compliance with healthcare regulations, including HIPAA, OSHA, and other relevant laws and guidelines.
    • Maintain and update documentation related to compliance and quality assurance.
    • Conduct regular audits and reviews of office practices to ensure adherence to standards and regulations.
  6. Technology and Systems Management:

    • Oversee the implementation and maintenance of electronic health record (EHR) systems and other office technology.
    • Coordinate with IT support to address technical issues and ensure system functionality.
    • Manage software updates, data backups, and system security measures.
  7. Communication and Coordination:

    • Act as the primary point of contact between the office and external parties, including vendors, insurance companies, and regulatory agencies.
    • Facilitate communication between medical staff, administrative staff, and patients.
    • Organize and lead staff meetings and training sessions.

Qualifications:

  • Previous experience in medical office management or a similar administrative role within a healthcare setting is necessary.
  • Knowledge of medical terminology, billing and coding procedures, and healthcare regulations.
  • Proficiency in using office management software and electronic health record (EHR) systems.
  • Strong organizational, leadership, and problem-solving skills.
  • Excellent communication and interpersonal skills.

Preferred Qualifications:

  • Certification in Medical Office Management or Healthcare Administration.
  • Experience with EHR systems ( i.e, Athena, Epic)
  • Advanced knowledge of healthcare compliance and accreditation standards.

Physical Requirements:

  • Ability to perform office tasks, including sitting for extended periods and occasionally lifting office supplies or equipment.
  • Ability to work in a fast-paced environment and manage multiple tasks efficiently.
