TITLE: School Receptionist (2025-26 School Year) SALARY: Pay Grade 101 (In accordance to our CHCCS Salary Scales)
BENEFITS : Full benefits including paid holidays, sick leave, annual leave, holiday pay, health insurance and retirement. Local supplement of 5.5% starts the month after completion of first year. State longevity after 10 years of service.
QUALIFICATIONS: - Graduation from a two-year college or technical school majoring in a computer-related field or administrative office support.
- Minimum two years of experience with data entry.
- Minimum of one year experience in data management or the equivalent of experience with a computer system that requires knowledge of editing and completing source data.
- Typing, filing and other secretarial skills.
- Ability to deal with people in tactful and effective manner.
- Excellent communication and decision-making skills with the ability to communicate to a wide variety of groups.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable
REPORTS TO: Principal
JOB GOALS: - To contribute to effective school-public relations by prompt and courteous handling of all inquiries and visitors in the additional role of receptionist.
- To assist in the administration of the school's business affairs so as to provide the maximum services for the financial resources available.

- To provide dedicated, first-line technical and computer support for the school staff using Power School and any associated modules.
- To assist and relieve the principal and/or teachers of clerical duties so that he/she/they may devote maximum attention to the education of children.
PERFORMANCE RESPONSIBILITIES: - Serve as the main source of contact in the front office in the role of receptionist.
- Maintain and utilize the web-based student information system.
- Maintain a working knowledge of student accounting procedures and regulations, source data, and the functionality of electronic student files.
- Prepare customized reports and databases for local school needs.
- Coordinate user security within PowerSchool.
- Maintain records of student withdrawals, including reasons for withdrawal and students' future plans, and prepare periodic statistical reports (Drop Out Report).
- Maintain exceptional student information.
- Attend conferences and training sessions to develop and maintain a knowledge base of database management and PowerSchool.
- Performs the usual office routines and practices associated with a busy yet productive and smoothly run office.
- Maintains a complete and systematic set of records of all financial transactions of the school.
- Records detail of school financial transactions in appropriate journals and subsidiary ledgers from such sources as requisitions and records.
- Summarizes and balances entries recorded in individual journals and ledgers, and transfers data as appropriate.
- Traces errors and records adjustments to correct charges or credits posted to incorrect amounts.
- Computes and records cash receipt summaries.
- Reconciles canceled checks with bank statements and verifies bank balance with statements.
- Maintains financial records and completes monthly reports for Finance.
- Does all bank deposits of school monies and prepares payroll records for employees.
- Responsible for the school's accounts receivable and accounts payable.
- Maintains stock supplies and orders as needed and distributes stock to employees, as requested.
- Maintains student records as shall be required and disseminates copies as requested.
- Greets all visitors courteously, determines their needs, checks appointments, and directs and escorts them to the proper person.
- Answers office telephone and responds appropriately to requests for information.
- Reports immediately the presence in the building of any visitor who bypasses the reception desk or any suspicious activity or unusual behavior on the part of visitors.
- Receives and distributes mail to appropriate persons.
- Maintains such records and reports as requested by the principal.
- Perform other duties as assigned by the school principal and/or designee.
PHYSICAL QUALIFICATION: Must be able to physically perform the basic operational functions of stooping, kneeling, crouching, reaching, standing, walking, hearing and repetitive motion. The ability to lift a minimum of 20 pounds.
TERMS OF EMPLOYMENT: 11-month position; work schedule determined by the Principal.
